[Chat request for arrangement]Process from bullet train search to reservation application

On this page, we will explain the process from searching for the Shinkansen (requesting arrangements via chat) to applying for a reservation on BORDER.

Change/Cancellation

STEP1. New request

First, click on New Request and select “Chat request for arrangement”.

Next, enter your business trip information on the “Order Your Trip” screen.

At that time, please select “Bullet Train (Paper tickets)” or “Bullet Train (QR code)” from “This trip requires”.

STEP2. Search for bullet train

When you click Request Travel Arrangements, a thread will be created and you will be redirected to a chat page. The operator will send you a message with suggestions based on your request.

When you receive the message, please check the contents and send the message. The message field is located at the bottom of the chat page.

STEP3. Approval of the quote

Once your request has been confirmed, the operator will send you a quotation. Check your reservation details and amount and place your order. Please see the link below for details.

If you use BORDER’s business trip request function to perform internal approval, you will need to apply and approve the business trip before pressing [Payment]. See below for details.

STEP4. Receive your bullet train ticket

For those who choose paper tickets

Shinkansen tickets will be mailed to you using Letter Pack (red). When you receive your ticket, please check that it matches the reservation details.

For those who choose QR code

We will send you the Shinkansen QR code via chat. Please remove your paper ticket from the ticket vending machine at the station.

Change/Cancellation

If it is before the quotation order deadline, please let the operator know.
Please refer to the following for procedures after ordering a quote.

For those who choose paper tickets

Change

Please complete the change procedure directly at the JR counter before your scheduled boarding time.

① If the amount becomes the same after the change
Changes can be made for free. (up to 1 time)

② If the amount increases after the change
Changes can be made by paying the difference at the counter. (up to 1 time)

③If the amount is reduced after the change
You will need to cancel your existing ticket and purchase a new ticket. If your departure date is less than 4 business days before our departure date, please purchase your ticket yourself.

Cancellation

In the case of cancellation, you will need to approve the refund quote after the ticket refund process has been completed.
Please contact the operator via chat to cancel and follow the steps below.

-Procedure flow-
①Please press the “Refund Request Certification Stamp” on the ticket at the JR counter before the scheduled boarding time.
②Please mail the stamped ticket to the ticketing company provided by the operator.
③Refund procedure at ticketing company
④Please order the refund estimate sent by the operator.

For those who choose QR code

Change

▼If you have not converted the QR code to a paper ticket
Please notify us of any changes via chat during our business hours.
If it is outside of our business hours or if you are in a hurry, please issue a paper ticket at the ticket vending machine and go directly to the JR counter before your scheduled boarding time.

If you have changed your QR code to a paper ticket

Please complete the change procedure directly at the JR counter before your scheduled boarding time.

① If the amount becomes the same after the change
Changes can be made for free. (up to 1 time)

② If the amount increases after the change
Changes can be made by paying the difference at the counter. (up to 1 time)

③If the amount is reduced after the change
You will need to cancel your existing ticket and purchase a new ticket. If your departure date is less than 4 business days before our departure date, please purchase your ticket yourself.
